Definition

What is a Management System?

A Management System is a structured framework of policies, procedures and practices that an organisation applies systematically to achieve its strategic and operational objectives.

It follows the PDCA cycle — Plan, Do, Check, Act — a continuous loop of planning, execution, monitoring and improvement that progressively raises performance over time.

💡 A management system is not a bureaucratic stack of documents. It is a living mechanism that guides every decision and action within your organisation.

ISO standards provide a shared vocabulary and internationally recognised structure, enabling independent third-party certification by accredited bodies — proof your system works as claimed.

Integrated Management System (IMS)
Quality · Environment · Health & Safety
ISO 9001 Quality Management System — customer focus, process control and continuous improvement
ISO 14001 Environmental Management System — reducing environmental impact and ensuring regulatory compliance
ISO 45001 OH&S Management System — preventing workplace accidents and occupational illness
The Standards

Three Systems, One Strategic Framework

Each standard addresses a distinct dimension of your organisation. They can be implemented individually or combined into a single Integrated Management System (IMS).

ISO 9001 : 2015

Quality Management System

The world's most widely adopted management standard. It defines requirements for consistent, high-quality products and services and systematic customer satisfaction.

  • Understanding customer needs and expectations
  • Documentation of production and service processes
  • Key Performance Indicator (KPI) monitoring
  • Nonconformity and corrective action management
  • Management review and strategic alignment
ISO 14001 : 2015

Environmental Management System

Provides a systematic approach to identifying and controlling environmental impacts, ensuring regulatory compliance and demonstrating environmental responsibility.

  • Identification of significant environmental aspects
  • Legal and regulatory compliance tracking
  • Environmental objectives and improvement programmes
  • Energy, water and raw material consumption reduction
  • Emergency preparedness for environmental incidents
ISO 45001 : 2018

OH&S Management System

The international replacement for OHSAS 18001, focused on proactive risk management and the elimination of workplace hazards before they cause harm.

  • Hazard identification and workplace risk assessment
  • Labour law and OH&S regulatory compliance
  • Worker training, awareness and participation
  • Incident investigation and accident rate monitoring
  • Emergency planning and crisis response
Standard Revisions

Transitioning to ISO 9001:2026 & ISO 14001:2026

Both ISO 9001 and ISO 14001 are being revised. ISO 14001:2026 has been published; ISO 9001:2026 is in its final stages. MBO guides certified organisations through a smooth, planned transition with no disruption to ongoing operations or certification status.

Published

ISO 14001:2026

Environmental Management Systems

ISO 14001:2026 has been officially published, replacing ISO 14001:2015. The revision strengthens the standard's alignment with climate change strategy, the circular economy and the EU Green Deal, while harmonising fully with the updated High Level Structure (HLS) shared by all ISO management system standards.

Key Changes in the 2026 Version
  • Climate change as a mandatory context factor — organisations must explicitly consider climate-related risks and opportunities when establishing and reviewing their EMS.
  • Circular economy integration — new requirements address product lifecycle thinking, waste minimisation and resource efficiency as part of the planning process.
  • Strengthened compliance obligations — enhanced emphasis on identifying, tracking and demonstrating compliance with applicable environmental legal requirements.
  • HLS alignment — fully restructured to match the updated Harmonised Structure, making integration with ISO 9001:2026 and ISO 45001 even more seamless.
  • Stakeholder expectations — broader consideration of interested parties' needs in relation to environmental performance.
Transition period in effect Certified organisations have a 3-year transition window from the publication date to migrate to ISO 14001:2026. Surveillance and recertification audits will progressively shift to the new version. Contact us to plan your transition timeline.
In Final Stages

ISO 9001:2026

Quality Management Systems

ISO 9001:2026 is in the final stages of development by ISO/TC 176. It retains the proven risk-based, process-approach framework of the 2015 edition while introducing updates that reflect the realities of digital operations, remote working and the post-pandemic business environment.

Expected Key Changes
  • Digital & remote context — explicit recognition of digital business environments, remote service delivery and virtualised processes in the organisational context and operations clauses.
  • Knowledge management clarification — strengthened guidance on capturing and retaining organisational knowledge, addressing the challenges of workforce turnover and knowledge transfer.
  • Updated HLS alignment — restructured to the same Harmonised Structure as ISO 14001:2026 and ISO 45001:2018, further reducing integration complexity.
  • Interested party needs — refined requirements around monitoring and reviewing the needs and expectations of relevant interested parties.
  • Continual improvement emphasis — clearer distinction between correction, corrective action and continual improvement activities.
Publication expected in 2026 MBO actively monitors the ISO/TC 176 revision process and will notify clients of publication and transition requirements as soon as they are confirmed. We recommend beginning a readiness assessment now to minimise transition effort.
MBO's Transition Methodology — Four Phases
1

Transition Gap Analysis

We compare your current certified system against the new standard's requirements clause by clause, producing a gap report and effort estimate.

2

Documentation Update

Policies, procedures and records are revised to address new or modified requirements. Where possible, existing documents are extended rather than rewritten.

3

Training & Roll-out

Staff are briefed on the changes relevant to their roles. We focus on substance — what has actually changed — not on theoretical standard text.

4

Transition Audit Support

We prepare you for and support you through the transition audit with your Certification Body, ensuring first-time success and continuity of certification.

Why Certify

The Business Case for ISO Certification

Certification is far more than a document on the wall — it is a catalyst for measurable improvement across your entire organisation.

Competitive Advantage

ISO certification is a mandatory requirement in many public tenders, procurement processes and large-company supplier qualifications. It opens doors that are otherwise closed.

Improved Internal Processes

Documenting and monitoring processes exposes inefficiencies, reduces errors and raises productivity — delivering measurable operational savings over time.

Customer Satisfaction

Systematic capture of customer requirements, measurable satisfaction metrics and fast complaint resolution build long-term loyalty and reduce churn.

Legal Compliance

Regular assessment of applicable legislation — environmental, labour, product safety — dramatically reduces the risk of fines, penalties and regulatory action.

International Recognition

ISO certificates are accepted in 170+ countries. Certification signals credibility to international partners and facilitates export market access.

Safer, More Engaged Workforce

Fewer accidents, proactive risk management and genuine worker involvement improve morale, reduce absenteeism and protect your most important asset — your people.

4

Internal Audit & Management Review

Before external certification, we conduct a full internal audit to verify the system is functioning as designed. Findings are reviewed with senior management and corrective actions are closed out.

5

Certification Audit by Accredited Body

The certification audit is conducted by an independently accredited Certification Body selected by you. It takes place in two stages (Stage 1 — document review; Stage 2 — on-site assessment). On successful completion, a 3-year certificate is issued.

FAQ

Frequently Asked Questions

The timeline depends on the size of your organisation, headcount, complexity of activities and your existing level of organisation. For a typical SME it ranges from 3 to 9 months. The Gap Analysis produces a realistic project schedule tailored to your situation.
Absolutely. ISO standards apply to organisations of every size — from sole traders to multinationals. Many SMEs pursue certification specifically to qualify for public tenders or to meet the supplier requirements of large corporate customers.
The Certification Body (CB) is chosen by your organisation. MBO provides a shortlist of accredited CBs active in Greece and helps you select the most suitable one based on cost, reputation and sector expertise. It is essential that the CB is accredited by ESYD (the Hellenic Accreditation System) or an equivalent national accreditation body.
An IMS combines two or more standards (e.g. ISO 9001 + ISO 14001 + ISO 45001) into a single coherent system. The advantages are significant: one common policy, one shared set of procedures, reduced bureaucracy, lower certification cost (combined audits) and easier understanding by staff. All three ISO standards follow the same High Level Structure (HLS), making integration straightforward.
